John Muir PTC Meeting Summary

October 12, 2010

Attended: Katherine, Tracy P, Aura, Tara, Mary, Tracy H, Pat, Elisa, Peter C, Patti, Camille, Lauren, Joan, Grant, Pauline, Jennie C

AGENDA item: Volunteer Summary–Holiday Committee–Garden Update–Site Council–School Play & Grant–Music Program–Evening PTC Meetings–Fundraising Report – Financial Update

Volunteer Summary Sign-ups from last meeting distributed and discussed. There are forms on the PTC board for folks to fill out and submit to PTC president, Katherine Holden.

ASD Holiday Committee: There has been a committee formed to create district wide policy, it includes reviewing other district's policies and create one for ASD. Meeting again on the 26th. Patti Ruiz is the JMS representative on the committee.

Garden Update: Patti reported that the garden committee has been  happy to have students out in the garden. Community collaboration is great too. Fall and winter gardens are planted or planned. Jobs can be had at anytime, there is a yellow tube in the garden that also has a way for folks to record their volunteer hours. Next Community garden day Oct. 20th

Site Council: Meet for the first time this year, last week. Reviewing goals. There was a great student representation. Focus on ASDs foreign language project, the district is asking site councils to make recommendation. There are 3 styles/systems that are being considered. Pat suggested a 4th option, ASD purchase Rosetta Stone license for whole district/all families.

School Play & Grant: Bianca came to present to the PTC, she is seeking permission and support to do a school play. Peter C. suggested dramatizing vignettes; folks liked that idea, elaboration on student written scripts. Katherine suggested an all school email go out. Lauren said she'd help Bianca meet the drama teacher at AHS and possibly find a senior to take this as a senior project.

Music Program: Elisa acknowledged that Janet & Duane are still adjusting to being part of JMS, and that she is hearing concerns from students and parents as well as folks who are very happy. She has shared suggestions with them about bringing back the old songs, taking suggestions from students, and using the tambourine less. Duane's material and the rock band are good for the olders. Duane is using 10 - ¼ sized violins to teach Pat's class the violin. He hopes to teach whole JMS the violin and bring in high school aged kids to assist. Focus time allows students time for other instruments. Janet's Glee Club is going well. Students & families are welcome to bring in new songs.

Evening PTC meetings: Katherine suggested one evening meeting every few months. Try it and see, if it's the same folks then we know after school is fine. In November the PTC will hold an evening meeting, Tuesday November 9th, 7pm at Katherine's house. 152 Orange Street. There would be no childcare provided.

Fundraising Report: There will be a winter social gathering Winter Festival that could have Art Focus items for sale. Jennie Crain volunteered to help kids make more stuff after school. Friday, Dec 10th. Using hallway for crafting display and snacks. A classroom will be set up for re-gifting, items will be for sale. 8th graders are doing art for stainless steel water bottles to sell. There will be kid made cards for sale too. Next Fundraising Meeting is October 18th after school.

Financial Update: Lauren passed out a report. First month of school provided $300 in Scrip money.

PTC Handout

PTC 2010-2011 Budget (Approved unanimously)

Discussion

Budget: A public school is a place all families should be able come to without monetary pressure. Budgeting and creating scholarships is integral to allowing this. No family should feel they “can’t afford” JM.

There was unanimous approval of budget with additional funding to $1000 for the courtyard. Appreciation was expressed for Lauren’s fine work.

Garden: Tracy and Patti, the garden coordinators, shared that the new food service at AMS is using produce in the cafeteria from the JM school garden. We have three years to prove we can “do it” before the district looks at bringing in an outside food service again. So we should really go for it as a community, and partake at AMS when the cafeteria will be serving our produce.

The garden is a part of the JM Outdoor Education Program. Students will do their seed unit in the garden. The 5th-8th graders will be using the JM garden and other local gardens such as Eagle Mill Farms on Fridays.

The garden is easier than ever to volunteer in: a deer fence is in; a water faucet with city water is installed; a drip system is now in.

A two-year strategic plan in the works. Future ideas: cleaning station – big compost pile – two season garden (maybe three season?). Tract and Patti are forging ahead with the idea that the families will be right behind the whole project. They are looking ahead to next year to develop the Pantry Arts; canning, dehydration, freezing and pickling.

Walk and Bike Month: Jenny Crane volunteered to get snack bars in conjunction with the Bike to School Day swag.

Respectfully submitted by Ramana.

Our primary goal remains to PROVIDE LOCAL SCHOOL GARDEN PRODUCE to the AMS cafeteria while providing a learning opportunity for all students.
Welcome and welcome back.  The garden has been a busy place.  Here what's happening:
After a stressful summer, the year is starting out with a VERY positive spin.  The work group of Sept. 1st was small but mighty. With
their help we managed to tame the black berry bushes and shrink the jungle of weeds very nicely.  Our Farms to School liaison, Tracy Harding, continues to be a strong supporter of our efforts.
Shortly after school concluded last June the AMS maintenance department  put in a city water faucet source for us in the SE corner. YEAH! So now we have available to us City water and seasonal TID via gravity feed and a pump in the SW corner
Thank you Gary Sisk, Head of Maintenance, and Don "the water guy!"
We quickly PUT IN A DRIP SYSTEM and managed to plant half of the garden space.  We are currently expanding the drip system this week to accommodate a fall garden.
The DEER FENCE was a great success and the gophers did not do as much damage as last year.
Despite a heroic effort from Peter Wilhelm, TIna Marie Springer, and her steadfast helpers, Michiko & Lisa,
the PEST DAMAGE TOOK A HEAVY TOLL ON THE SUMMER CROPS and crop yields are historically low.
We have initiated an improved organic pest control program and will increase our education by Spring planting time.
WE WERE GIFTED A STRAW JET SHED by the Straw Jet Co. of Ashland/Talent. We will need help with the foundation at some point.  Please contact me or Martin if you have a particular intertest in this project. Martin Lee is the coordinator.  Google "Straw Jet Shed" and choose the Ashland based company video for some really inspiring information on this cutting edge sustainable practice.
Great news came to us when school resumed. THE 5-8th GRADERS WILL BE USING THE GARDEN as part of the
Seed unit Sept 20 - Oct. 22.  They will be involved in soil testing, establishing a composting system, planting seeds under
various conditions and other fun activities.  We are delighted to be a resource for some of the JMS curriculum.
At this time WE ARE PLANTING A FALL GARDEN RIGHT NOW and hope to have these crops go in to the Middle School cafeteria.
Thank you Peter W. for all the wonderful starts.
We are working closely with Eric Sandrock (AMS teacher)  and Tracy Harding (F2S).  We are very appreciative of the effort and resources provided by David Munson (a new JMS parent).
To be successful WE NEED YOUR HELP.  Please contact me or come the garden to help prepare for and plant the fall crop Monday,
Tuesday or Wednesday of this week, Sept. 13-15, from 9-11 a.m.
Make it YOUR COMMUNITY GARDEN!

John Muir School
Parent Teacher Collective Meeting
May 11th, 2010

Attendance: Maribeth, Patti, Katherine, Pat, Lauren, Camille, Pete, Pauline, Doug, Karin, Grant

Meeting called to order by Katherine Holden, PTC President at 3:05

Announcement - Pat
Here will be a party for Emy on June 2nd, from 5 - 7pm, at JMS.  Courtyard will serve as a stage.  Bands will play.  Graduated students will be invited.  Gift ideas?  Subcommittee will do planning: Noreen, Tim, Pauline and Pat.

Site Council - Patti & Doug
See document titled: JMS Site Council Minutes (Patti)
Met to review surveys and the Community Collaboration meeting notes.
Staff positions to be brought to PTC.
School improvement plan:
Upper grades will have an altered outdoor program to include other experiences besides EarthTeach.
Some money coming from the district to supplement staff time for outdoor program.
New computer lab next year, details to come.
SmartBoards for a couple classrooms (upper grades) and training for teachers.
7th & 8th grades will work with Rick Shaw to have a tech/media production class twice/week.  Not elective, all students.
District acknowledging unique needs of our school to look at new principle.  Job posted as .3 position, hoping for someone who is happy to work part-time.  There is a possibility of bulking the job with another position that is referred to as a TOSA (teacher on special assignment).  Data, reading or math would be the special assignment areas.  JMS would be included in the hiring process, certified, classified, parent and district staff on hiring committee.  School Board has final hiring decision.  JMS PTC is very vested in this hire, regardless of the .3 scale of the position, the principle is important to the school.  There was some discussion of involving all parents in the process.
Doug presented information regarding testing - recommended that emphasis should be on watching for improvement in each child, rather than just looking at scores.  Steve Retzlaff will present to the lead team that the district could monitor improvements in all students not just the below benchmark students (state model).  As well as to look at more than one years growth.  Growth to meet category and to exceed calculator.
Next years school improvement focus areas build on this year's data collection and important subjects.  Presentation is in the fall.
- Outdoor sustainability
- Increase breadth & depth of art & music programs
- Improving math program
- Strengthening communication and awareness of the interconnectedness of all these things

School Wide Survey Report - Doug
See document titled: 2009-2010 - JMS Stakeholder Survey Results (Doug)
Survey indicates the focus areas are those discussed at the Community Collaboration meeting.
Look at core classes rather that GPA
Use data to dispel myths that JMS students do not do well in HS.
Math discussion regarding placement in HS classes - Doug will follow up.
See document titled: JMS Graduates - High School Performance (Doug)

Community Collaboration meeting update - Katherine
See document titled: notes            (Katherine)
Katherine typed up minutes and reported it generally as a successful event.  Discussion of partnering new families with existing families and creating a template of items to verse new families in.
Brief discussion regarding meeting needs of upper grades.
Patti will compile information from Community Collaboration meeting, family and staff surveys.  Pauline suggests that there be a statement regarding how all this information gets rolled into plans, programs.  Expect something from Doug by the end of the school year.

PTC funded position - Doug
See document titled: JMS Program Support Position 2010 - 2011 A PTC funded position
Doug wrote a job description.  PTC can contract position, person must have a business related to position.  Advice comes from district accountant.  Hire from EA or substitute teacher lists.  Intermittent and non-regular is ideal as that eliminates the need to only shop from the district call back list.  Need to investigate how PTC nonprofit status effects limitations on this position.  Lauren & Doug report back on this.
Motion to approve PTC funding of special positions passes.

Financial report - Lauren
Submitted on paper, meeting went over time and Lauren had to leave.
Account balance: 14,028.67
See document titled: JMS PTC Financial Report May 11, 2010

New Business
Idea of having a couple PTC meetings in the summer.  Having late summer potluck, welcome new families.
Subcommittee: Maribeth, Pat, Lauren, Katherine, Pauline and Karin

Garden update - Patti
Patti gave very brief update

Meeting adjourned at 4:35
